DEI Case Coordinator for Community Engagement

About the Position:
Reporting to the Vice President for Diversity, Equity, and Inclusion and ADA Coordinator in the Office for Diversity, Equity and Inclusion (DEI), the DEI Case Coordinator for Community Engagement will coordinate the unit’s case management and case record efforts via initial review and distribution of incoming Title IX Reports, EO Reports, and AAM/ADA Requests. This function includes, but is not limited to, daily review of designated accounts in each area of DEI, entry of all incoming items into appropriate logs (ADA, Title IX, and EO) as well as the timely creation of case files (either in shared drive or in case management system). The primary responsibility for this position is to receive, evaluate, triage, and coordinate incoming inquiries and reports to support and foster the university’s timely response to such inquires and reports. As such, a high level of analytic ability and professional judgement is necessary.
 
The DEI Case Coordinator for Community Engagement will act according to established procedures to: acknowledge the university’s receipt of inquiry and reports as well as receipt of any subsequent formal complaints (under the guidance of the designated director); provide the initial executive summary of each incoming inquiry or report to the designated director, response to reports and complainants as directed; assist each Director to conduct other preliminary fact-finding, as required, to assess the initial outreach needs under applicable university policies and procedures; schedule and perform outreach and initial information sessions with parties for the designated director; interpret and/or advise reporters or parties within a report of university policy of resources; document all outcomes for referrals and resources to individuals involved in the complaint; ensure that data information related to support measures for each case is recorded, updated, and maintained within expectations of federal and state regulation; and, ensure each specific log and case files are accurate and ready for submission to the designated Director. The DEI Case Coordinator for Community Engagement will work in unison with each DEI unit to foster and facilitate equitable access to university programs, activities, and academic programs.


Responsibilities:
  • Coordinate the inquiry and report function of the three DEI offices by evaluation of incoming items, completion of appropriate logs and case files, and in summarizing key elements of each inquiry or report for each office;
  • Acknowledge all incoming inquires and reports as well as provide the initial response to party inquiring or reporting;
  • Conduct other preliminary fact-finding as required to assess the inquiry or report under applicable university policies and procedures;
  • Schedule and perform initial basis outreach to ensure prompt connection to appropriate area;
  • Interpret and/or advise inquirers of university policy and procedures;
  • Provide referrals and resources as appropriate;
  • Record and monitor the effectiveness of Title IX specific interim measures throughout the inquiry process and/or formal resolution process;
  • Assess the need for, recommend and coordinate other temporary measures in coordination with appropriate DEI Director;
  • Work closely with the appropriate Director to coordinate the disposition and transfer of cases;
  • Ensure comprehensive and complete case files via regular audit at key steps in each DEI process (ADA, Title IX or EO);
  • Document and record the incoming inquiries, concerns and complaints, including communication with University Responsible Employees and other third-party reporters; 
  • Ensure all case management data and documentation of actions related to each case is accurate and up-to-date;
  • Respond to general inquiries for information about DEI and university policies, complaint resolution processes and other areas related to the university resources on discrimination, harassment, ADA, and Title IX;
  • Assist each area in scheduling, recording, and maintaining accurate records of all types of DEI training mandated for Title IX for staff, faculty and students; and
  • Provide or assist in specific DEI trainings, including but not limited to, Title IX, EO, ADA, or general diversity and inclusion topics.
 
Required Qualifications:
  • Master’s Degree in Higher Education, Psychology, Social Work, Counseling, or related area, or equivalent combination of education and experience;
  • Demonstrated experience (2+ years preferred) of case management within a DEI type of office;
  • Knowledge of current state and federal compliance policies, laws, and practices related to sex and gender-based harassment and discrimination;
  • Knowledge of compliance, policies, procedures in programs in higher education, or equivalent knowledge and experience;
  • Demonstrated ability to exercise professional judgment, tact and discretion when dealing with sensitive matters and/or people in distress;
  • Demonstrated ability to effectively manage crisis intervention and response;
  • Experience working in an environment of strict confidentiality with sensitive information, materials and/or client interactions;
  • Demonstrated ability to present information in a clear and concise manner, both in writing and verbally;
  • Demonstrated experience building collaborative relationships and working successfully with individuals from diverse cultural backgrounds and perspectives;
  • Demonstrated experience using Microsoft Office applications and document sharing tools; and
  • Completion of Title IX, ADA, and EEO training or certifications.
 
Preferred Qualifications:
  • Paralegal training, certificate and/or direct legal office experience;
  • Demonstrated experience (5+ years preferred) in DEI case management and data analysis; and
  • Progressive experience working in an institution of higher education in conduct, student affairs, or disability services.
