Refund & Cancellation Policy

In-Person Events

If you register for an in-person event and must cancel your registration, all cancellations must be submitted via the Cancel Registration and Request for Refund Form by the deadlines listed below. The refund request must come from the registered person themselves. Telephone requests will not be honored. 

  • Cancellations received up to 60 days prior to the start of an in person event, with a paid or unpaid invoice, will incur a $35.00 administrative fee.

  • Cancellations received between 14 and 60 days prior to the first day of the event will be eligible for a 50% refund of the invoiced or paid amount.

  • Cancellations received less than 14 days prior to the event, with a paid or unpaid invoice, will not be eligible for a refund.

Substitutions are allowed by individuals within the same institution/company, provided the event/track does not have a wait-list. Substitutions must have the same member classification so that the payment is an even exchange transfer of payment. Requests for substitution must be submitted via the same Cancel Registration and Request for Refund Form. If the substitution request does not involve someone of the same member classification as the original registrant, the registrant/institution/company will be required to pay the difference in registration cost at the time that the request for substitution is made. For example, if the initial registration is made during an early bird registration period and the request for substitution is made during a late registration period, the institution/company would be required to pay the difference as per the late registration pricing.

Virtual Events

If you register for a virtual event and must cancel your registration, all cancellations must be submitted via the Cancel Registration and Request for Refund Form. The refund request must come from the registered person themselves. Telephone requests will not be honored.

  • Cancellations received up to 14 days prior to the start of the virtual event, with a paid or unpaid invoice, will incur a $35 administrative fee. If the webinar costs less than the administrative fee, no refund will be given.

  • Cancellations received between 14 and 3 days prior to the start of the virtual event are eligible for a 50% refund of the invoiced or paid amount, less a $35 administrative fee. If the webinar cost less than the administrative fee, no refund will be given.

  • Cancellations received less than 3 days prior to the virtual event, with a paid or unpaid invoice, will not be eligible for a refund.

Substitutions are allowed by individuals within the same institution/company, provided the event/track is not on a waitlist. Substitutions should have the same member classification so that the payment is an even exchange transfer of payment. Requests for substitution must be submitted via the same Cancel Registration and Request for Refund Form. If the substitution request is not involving those of the same member classification, the institution/company will be required to pay the difference in registration cost at the time that the request for substitution is made. For example, if the initial registration is made during an early bird registration period and the request for substitution is made during a late registration period, the registrant/institution/company would be required to pay the difference as per the late registration pricing.

Invoice or Bill-Me Option

Individuals who have registered for ASCA events but have requested to be billed or invoiced, who then canceled their registration, must notify ASCA of cancellation via the Cancel Registration and Request for Refund Form. Note: Failure to submit payment prior to cancellation is NOT proof of cancellation, and you will be held for payment obligations since cancellation deadlines noted above were not followed.

All Bill Me or invoice order payments must be received or postmarked by the advertised deadlines in order to receive any early discounted rates on registration fees. Payments received or postmarked after the deadline will have their balance due adjusted to the later fee.

Memberships to ASCA

Membership purchases are non-refundable.
